Case Study

Every door order in one HubSpot, from first inquiry to delivery

Dominius AS, a Norwegian company that designs and supplies custom steel and glass doors, ran its sales from shared spreadsheets and inboxes. We set up HubSpot from scratch around the way the team sells, and connected website chat, SMS and the order process to it. Every inquiry and order now has an owner and a stage, and we keep improving the setup with the sales team every week.

The situation

Dominius AS designs and supplies custom steel and glass doors, glass walls and sliding doors for customers in Norway. Every door is made to order, so each sale needs measurements, a price offer and a production order. The team ran all of it from shared spreadsheets, email and files.

  • Leads, quotes and customer history were spread across shared spreadsheets, email and files
  • Reports were built by hand, so there was little view of the pipeline or of which marketing worked
  • Follow-up reminders sat in personal inboxes, so a lead could be forgotten
  • Order and transport details were passed on by email and typed up by hand

How we approached it

1
Analysis and design
We mapped how the team sells, quotes and orders, then designed the pipelines, stages and properties around it. July 2025.
2
Migration and build
Contacts, companies, deals and past activity moved from the spreadsheets and inboxes, cleaned and without duplicates. Email and calendars connected, and the first automations built. Summer 2025.
3
Training
A HubSpot training for the whole sales team, a one-page guide of best practices, and short videos for single tasks. Autumn 2025.
4
Orders and production
When a deal goes to production, one form collects the final order details and passes them on to production and delivery. January and February 2026.
5
Chat, AI replies and SMS
Website chat linked to HubSpot, AI-drafted replies to new inquiries, and SMS sent from HubSpot. December 2025 to October 2026.
6
Weekly reviews
A weekly call with the sales team to review the pipeline and fix what slows them down. Ongoing.

What we built.

  • One place for customer data

Contacts, companies, deals and past emails and meetings moved from spreadsheets and inboxes into HubSpot, with properties for products and project details.

  • Leads and deals for made-to-order doors

Every inquiry becomes a lead with an owner. When the price offer is sent, it becomes a deal that runs through order signing, production and delivery. Each stage asks for the details the next step needs.

  • Orders, production and delivery

When a deal goes to production, one form collects the final order details. HubSpot passes them on to production and delivery, so nobody types them up again.

  • Follow-up that does not depend on memory

Every open lead and deal has a task. Email sequences keep each conversation in one thread, tags flag leads with no task or no recent activity, and leads that never reply are closed automatically.

  • Chat, SMS and AI replies

Chats from the website create leads in HubSpot. An AI drafts replies to new inquiries, and a salesperson checks each draft before it goes out. SMS messages go out from HubSpot after a price offer and when an order is ready to sign.

  • Reporting and ads

Dashboards for the pipeline, sales activity and time to first contact. Leads from social media ad forms go straight into HubSpot, and customer lists from HubSpot are used to choose who sees the ads.

The review

“What stood out most was the combination of deep technical knowledge and strong people skills.”

“The biggest change has been reporting. Before, we pieced numbers together by hand from spreadsheets. Now we have live dashboards that show where every deal stands, which channels bring in leads, and how those leads turn into orders.”
