What moves, and what you rebuild
Your records move. Your automations and reports are rebuilt in HubSpot.
| Pipedrive | Close | HubSpot |
|---|---|---|
| Persons | Contacts | Contacts |
| Organizations | Leads | Companies |
| Deals | Opportunities | Deals |
| Activities | Tasks and activities | Tasks and activities |
| Notes | Notes | Notes |
| Custom fields | Custom fields | Properties |
These are rebuilt, not copied:
- Automations become HubSpot workflows.
- Email sequences become HubSpot sequences.
- Filters and Smart Views become saved views and lists.
- Reports and dashboards are rebuilt in HubSpot.
- Connected tools, such as calling apps, web forms and billing, are reconnected to HubSpot.
Email history and call recordings depend on what your current CRM can export. We check this at the start and tell you what can move.
The steps
- Review your current CRM. Record counts, fields in use, duplicates, automations and connected tools.
- Design the HubSpot setup. Pipelines, stages and properties built around how you sell today. We do not copy the old setup field by field.
- Map and clean the data. We match each field to a HubSpot property, merge duplicates and standardize values.
- Test import. We import a sample. Your team checks that records, owners and associations look right.
- Final migration. We import everything in a quiet period, then check record counts, associations and field values.
- Training and go-live. Your team starts working in HubSpot. Keep the old CRM as a read-only reference for a few weeks.
Mistakes to avoid
- Copying the old CRM one to one. Fields and stages nobody used end up in the new system.
- Moving dirty data. Duplicates and old records are easier to fix before the import than after.
- Cancelling the old CRM too early. Keep it until your team has checked the data in HubSpot. Check your renewal date early, so you do not pay for an extra year.
- Forgetting connected tools. Web forms, calling tools and billing systems that write to the old CRM must switch to HubSpot on go-live day.
Why it costs about the same as a new setup
Most of the work is designing and building HubSpot around your process. Data migration is one part of that work. A move from another CRM is a full implementation with an extra data source.
